Payroll Specialist $64,700-$71,000/year Join Beacon Community Services as the Payroll Specialist, a key member of the Finance team who ensures accurate and timely processing of payroll for over 300 union and non-union employees. This role is essential to maintaining employee trust and delivering an awesome employee experience. As the Payroll Specialist, you will get to utilize your meticulous attention to detail collaboration skills in a complex payroll environment. Interviews will take place on Wednesday, January 22nd POSITION SUMMARY: Reporting to the Payroll and Benefits Supervisor, the Payroll Specialist is critical in ensuring excellent employee experience at Beacon. This role is responsible for all payroll-related processes, systems, and data and provides knowledgeable service to employees and managers. The position works closely with Beacon’s Finance and HR teams, directors and managers throughout the organization, our payroll service provider as well as regulatory and reporting bodies. DUTIES AND RESPONSIBILITIES: * Payroll Processing: Using Payworks, process end-to-end biweekly payroll for union and non-union employees, ensuring all employees are paid accurately and on time. Also, process one-time payments and ad-hoc payment runs on an as-needed basis * Employee Setup:Assist HR with the payroll aspects of employee onboarding, including the setup of earnings, benefits, and accruals. Support new employee set up including position, employment type, union status, and department allocations * Benefits Setup: Ensure eligible employees are set up in Payworks with extended health, dental, life insurance, AD&D, LTD, pension, and other applicable benefit premiums. Complete benefits and pension enrollments and terminations as directed * Employee Record Maintenance: Maintain accurate employee records, including employment information, wage/salary rates, benefits entitlements, time off accruals, etc. Ensure changes and updates to employee records are processed on time. Process ROE’s for employees as needed * Timesheet Management:Support employees and management to ensure timesheets and time off requests are submitted and approved on time. Ensure timesheet hours are entered and coded appropriately * Reporting: Prepare payroll reports for internal and external stakeholders, including reporting on labour costs, union dues, and statutory remittances * Payroll Accounting: Prepare accounting entries for biweekly payroll transactions. Assist the Payroll and Benefits Supervisor with payroll account reconciliations as directed * Issue Resolution: Address and resolve payroll-related inquiries and issues from employees and management promptly * Service Orientation: Provide excellent service to support management with information about collective agreements, employee policies, and BC Employment Standards * Collaboration: Work closely with the payroll provider, Finance, HR, and other departments to ensure seamless integration and operation of payroll systems * Process Improvement: Participate in workflow automation and process improvement initiatives * Other payroll-related projects as directedEDUCATION AND EXPERIENCE: * 1 year of experience processing payroll in an organization with both union and non-union employees * Experience using comprehensive payroll software (Payworks preferred) * Familiarity with BC Labour Laws and employment standards regarding payroll, overtime, vacation, and sick leave. * Payroll Compliance Practitioner (PCP) designation or working towards designationSKILLS AND ABILITIES: * Excellent analytical, problem-solving and critical thinking skills * Strong communication skills, both written and verbal * Strong organizational skills and the ability to manage multiple competing priorities * Excellent interpersonal skills with the ability to build and maintain strong relationships * Ability to work both independently and as a member of a team * Skilled in the use of MS 365 (Teams, Excel, Word, Outlook, etc.) * Ability to ensure accuracy in payroll data entry, tax withholdings, and benefits calculations. * Ability to handle sensitive and confidential information with discretion ADDITIONAL INFORMATION: Beacon Community Services serves vulnerable populations including seniors, people with disabilities and children.
