JOB SUMMARY: Reporting to the bookkeeper, the Accounting/Office Assistant will provide general office support while performing a variety of administrative and clerical tasks to ensure our company's daily accounting functions are run efficiently and effectively. JOB DUTIES: Administrative Tasks: Answering phone calls and communicating with suppliers and trades General administrative filing, maintenance of records, and data entry Providing administration coverage during bookkeeper's vacation as needed Ordering office supplies Organizing files, label and box up inactive binders and keeping the office neat and tidy Accounting Support Tasks: Receiving and verifying accuracy of invoices and supplier statements Matching invoices with PO's, sorting invoices by job and prepare for coding and approval Handling accounts payable phone inquiries Updating WorksafeBC Sub-trades Alert List and verifying that they are in good standing Reconciling Bank Statements and Visa Statements and matching receipts to Visa Statements Entering key data of accounting transactions into Sage 50 Premium (AP, AR, Job Site, Inventory & Services, Payroll, Time & Billing Modules) and Excel Assist in Payroll and Union Remittances Supporting the bookkeeper in general office and finance duties assigned or requested REQUIREMENTS Excellent interpersonal skills Effective verbal and written communication skills Sage 50 Accounting experience an asset Proficiency with Microsoft Office Suite (Excel, Word, GMAIL & Calendars) Attention to detail with a high degree of accuracy Ability to handle confidential information in an ethical and professional manner Ability to succeed in a busy and generally fast paced environment Ability to think "outside the box" Confident in taking lead in completing a task on your own
